Welcome to the African American Youth Leadership Conference (AAYLC). The safety, well-being, and positive experience of our students, families, volunteers, and community members are important to us.

Before completing registration, please carefully review the following terms, conditions, waivers, and releases. By submitting a registration form, you acknowledge that you have read, understood, and agreed to the applicable provisions below.

 

Voluntary Participation, Assumption of Risk & Liability Waiver

Participation in the 2026 African American Youth Leadership Conference is voluntary. By registering yourself or a minor child, you acknowledge that participation in conference activities may involve certain inherent and unforeseen risks, including, but not limited to, personal injury, illness, allergic reaction, property loss, or other unforeseen circumstances.

To the fullest extent permitted by applicable law, you voluntarily assume the risks associated with participation and agree to release and hold harmless the African American Youth Leadership Conference (AAYLC), its board members, officers, employees, volunteers, agents, sponsors, partners, presenters, and representatives from claims, liabilities, damages, losses, or expenses arising from or related to participation in the conference, except to the extent prohibited by law.

Nothing in this waiver is intended to release any party from liability that cannot legally be waived under applicable law.

 

Emergency Medical Authorization

In the event of a medical emergency involving a minor participant, AAYLC representatives will make reasonable efforts to contact the parent or legal guardian listed on the registration form. If the parent or guardian cannot be reached and immediate medical attention is reasonably believed to be necessary, you authorize AAYLC representatives to contact emergency medical services and facilitate appropriate emergency care.

Any medical, ambulance, hospital, or related expenses incurred remain the responsibility of the participant or the participant's parent or legal guardian.

​

Food Allergies & Dietary Restrictions

Food served at the conference may contain or come into contact with common allergens, including, but not limited to, gluten, wheat, peanuts, tree nuts, milk, dairy, soy, eggs, and other ingredients.

​

While AAYLC will make reasonable efforts to communicate known food information and accommodate dietary restrictions when possible, AAYLC cannot guarantee an allergen-free environment or prevent cross-contact with allergens.

Participants and parents or guardians are responsible for determining which foods are safe to consume. If a participant has severe food allergies, significant dietary restrictions, or other food-related concerns, we strongly encourage bringing appropriate meals and snacks to ensure individual dietary needs are safely met.

Media Release & Authorization

By participating in the AAYLC, you grant the African American Youth Leadership Conference permission to photograph, video record, audio record, and otherwise capture the participant's name, image, likeness, voice, statements, and/or written contributions during conference-related activities.

​

You authorize AAYLC to use these materials for legitimate organizational purposes, including its website, newsletters, social media, promotional materials, fundraising communications, educational materials, press releases, and other print or digital publications, without compensation or remuneration.

​

AAYLC will not sell a participant's individual image or likeness for commercial purposes.

If a parent or legal guardian does not consent to the use of a minor participant's image or likeness, they must indicate this through the designated media-consent option during registration. AAYLC will make reasonable efforts to honor such requests; however, participants may incidentally appear in crowd shots or general event photography where individuals are not the primary focus.

Participant Conduct & Safety

All participants are expected to conduct themselves in a respectful, safe, and appropriate manner and to follow instructions provided by AAYLC representatives, conference staff, volunteers, presenters, and venue personnel.

AAYLC reserves the right to remove any participant whose behavior is disruptive, unsafe, threatening, discriminatory, harassing, or otherwise inconsistent with the organization's mission, values, or event guidelines.

Parents or guardians may be contacted and required to pick up a minor participant if removal from the conference becomes necessary.

Volunteer Eligibility, Conduct & Certification

The African American Youth Leadership Conference is committed to promoting the safety and well-being of all participants, particularly minors.

​

By registering as an AAYLC volunteer, you certify that:

​

1. You have not been convicted of an offense involving violence, sexual misconduct, abuse, exploitation, or harm to a minor, and you are not subject to any current legal restriction that prohibits or limits your ability to work or volunteer with minors.

2. You have provided truthful and accurate information during the volunteer registration process.

3. You agree to comply with all AAYLC policies, safety procedures, volunteer instructions, confidentiality expectations, and standards of conduct.

4. You agree to uphold AAYLC's values of integrity, safety, respect, inclusion, empowerment, and service.
    

AAYLC reserves the right, at its sole discretion and to the extent permitted by law, to deny, restrict, reassign, or terminate volunteer participation when necessary to protect participants, maintain event safety, or uphold organizational policies and standards.

Where applicable, volunteer participation may be subject to additional screening or background-check requirements.

​

Personal Property

Participants are responsible for their personal belongings. To the fullest extent permitted by law, AAYLC is not responsible for lost, stolen, misplaced, or damaged personal property brought to the conference.

Acknowledgment and Agreement

By proceeding with registration, you acknowledge that you have carefully read and understood these terms, conditions, waivers, and releases and agree to comply with all applicable conference policies and expectations.

​

If registering a minor, you certify that you are the participant's parent or legal guardian or that you otherwise have the legal authority to provide the required permissions and consents on the minor's behalf.

​

By submitting the registration form, you provide your electronic acknowledgment and agreement to these terms for the 2026 African American Youth Leadership Conference.
